Sending your parent's medication or mobility notes to a tour sales contact does not prove that the person travelling with the group has received them or agreed to provide the requested help. With your parent's agreement, close the handoff with the named escort before departure: which version they have, what practical support is confirmed and what remains outside the tour's service.
Ask the traveller what may be shared
Keep your parent involved. Ask what help they want, who may see the notes and whether they prefer to explain part of it themselves. A short operational summary is usually a better starting point than sending a full medical file to every driver, hotel and group chat. This is our planning recommendation, not a rule that one document is sufficient for every provider.
The 2024 UN Tourism, UNE and Fundación ONCE guide for tour operators recommends using a needs form with consent to share personal data, reaching relevant support providers and conveying disability, health and dietary information securely. Use the operator's verified private channel and ask who will receive the information.
Separate verified health facts from practical requests
If a note includes medicines, allergies or clinical instructions, have the traveller check it against current clinician-reviewed information. The escort should not guess doses, change a schedule or interpret an unclear instruction. Our emergency medical-card guide covers preparing a verified summary; this article is about confirming the handoff, not prescribing treatment.
Write the practical need plainly: difficulty with stairs, a rest stop, help reading instructions, space for an aid, or a reminder the traveller has requested. Do not turn a reminder into an assumption that the escort will store or administer medicines. If that level of support is needed, ask the operator what it can provide and arrange qualified or personal support as appropriate before relying on the booking.
Get the named escort's acknowledgement
Ask the operator to name the person responsible during the relevant part of the trip and confirm how they receive updates. Use a dated version of the note, tied privately to the actual traveller and departure. Request an acknowledgement from the escort or an operator confirmation that the named escort has received it. An email sent to a sales inbox is not the same evidence.
Our suggested acknowledgement asks for a short repeat-back: which needs are recorded, what tasks are agreed, who performs them and where the support starts and ends. A read receipt or “noted” does not settle those questions. If the escort is not assigned yet, agree who owns the handoff and when the assignment will be confirmed.
Check the route of support, not only the first meeting
Ask about the stages that matter to your parent: airport arrival, vehicle boarding, hotel access, sightseeing pace and return transfer. Do not assume the escort's promise automatically binds an airline, driver or hotel. Ask which practical requirements have been passed to each relevant provider and which are still awaiting confirmation.
The UK government's disability-travel guidance advises stating needs clearly to providers, confirming arrangements in writing and double-checking before departure. We use that as general planning guidance, not an Indian legal entitlement or a promise of personal care on every tour.
Keep limits and changes visible
Ask the operator to say plainly what it cannot provide, including any lifting, transfers, toileting, medicine handling or continuous one-to-one support that is outside the booking. Do not discover a care gap at the first hotel. If a requested task is essential but unconfirmed, resolve it before the trip or reconsider whether the arrangement fits.
If the traveller's needs or the escort changes, send a revised, dated note through the agreed private route and ask for a new acknowledgement. State which version replaces the old one. Keep a copy the traveller can access, but do not put private health details on an outer bag label or a public link.
A short handoff request
Our template, to fill privately with the traveller: “Please confirm that [named escort] has received the [date/version] support note for [traveller/departure]. Please repeat the practical tasks your team has agreed to, who covers each stage, any limits and the contact for changes. If a requirement is not confirmed, please say so before departure.” Send only the information needed for that recipient.
At the first meeting, let your parent confirm the plan in their own words where possible. The goal is a usable agreement, not a dossier nobody can act on. TripKeeper's practical test is whether the named person can explain the agreed help and its limits. We do not promise clinical care, medicine administration or guaranteed assistance merely because notes were submitted.
Sources and limits
Checked 4 November 2026: 2024 accessible-tourism recommendations for tour operators and UK government disability and travel guidance. These support consent, clear needs, secure sharing and written confirmation. The checklist and message template are editorial suggestions. No diagnosis, medicine dose, medical-clearance rule or provider-specific care entitlement is established here.
