A missing bag needs a record with the airline, not just a message to the person who booked your holiday. Speak to the airline’s baggage staff while you are still in the arrivals or reclaim area. Air India and IndiGo publish steps that support this approach; the exact report and later claim process depend on your carrier.

Confirm which problem you are reporting
Ask whether bags from your flight have finished arriving. Explain whether the entire case is absent, the case is damaged, or something is missing from inside it. These are different situations; describing a damaged case as a completely missing bag can make the record inaccurate.
Air India asks travellers to contact its arrival-hall personnel for delayed baggage and to obtain help with a Property Irregularity Report, commonly called a PIR. Its page says a copy will be provided once the report is filed. IndiGo asks travellers to report lost or damaged baggage before leaving the delivery area.
Build a useful report at the counter
Keep your boarding pass, checked-baggage receipt and contact information ready. Ask staff to record the bag’s identifying features and the correct flight details. A recent photograph can help you describe the case without guessing a brand or colour.
Check the report reference and retain a readable copy. Confirm the hotel address, local contact number and travel dates, especially if you are changing hotels soon. Ask how to update the address and how to check progress through the airline’s actual support channel.
Before you walk out
Read the information back rather than assuming the counter has copied every detail correctly. Ask what will happen next, what number identifies your case, and whether you need to take any further step yourself. Do not invent a delivery deadline from a staff member saying the airline is searching.
If you have already left the reclaim area, contact the airline promptly and explain that fact. Do not assume the report is impossible, or that a hotel or airport lost-property desk can create the airline’s record on your behalf.
A report and a payment claim are different
A PIR records the baggage problem. It does not by itself establish an amount due or approve spending. Air India says reimbursement for essential expenses may be considered subject to applicable terms; that is not a promise to pay for every replacement purchase.
Keep itemised receipts and the airline’s written updates. Check your actual airline and insurance policy for notification deadlines, documents and coverage. Do not rely on one universal seven-day rule for every kind of loss, damage, delay and insurance claim.
