Decide whether the traveller needs airport guidance, disability assistance, a porter or personal care. These can be different services. A paid meet-and-assist package does not automatically include all of them or replace the airport’s disability-assistance process.

Start with the airport’s own service page
Use the airport’s official site to identify supported providers, then verify the provider’s current package and terms. Heathrow’s official meet-and-assist page lists providers and describes guidance for arrivals, departures and connections. It does not establish one worldwide package or a fixed all-inclusive price for your journey. This guide does not select a provider or confirm a booking.
Give enough flight detail to define the job
Supply the operating flights, dates, terminals, number of travellers, connection type and relevant language or mobility needs through the provider’s supported booking route. Confirm whether it is an arrival, departure or transfer service. Do not send passport scans or medical records through an unverified chat merely because someone uses the airport’s name.
Pin down where help starts and ends
Ask whether the agent meets at the aircraft, after passport control, at baggage reclaim or in the public arrivals hall. Confirm what happens at a terminal change and where the traveller is handed to the next airline, driver or companion. Request the meeting point, contact route and procedure if the flight is delayed or the agent cannot be found.
Ask about exclusions and the final price
Check the number of passengers and bags, porter charges, waiting allowance, late-night charges, delay handling, cancellation and no-show terms. Ask explicitly about border queues, lounge access and transport. Guidance through formalities is not a promise to waive immigration, visa or security requirements, and “fast” wording is not proof of guaranteed priority.
Arrange disability assistance separately when needed
Heathrow asks travellers to tell the airline, tour operator or agent as soon as possible or at least 48 hours before travel, including return needs; the airline passes details to the airport team. That is Heathrow’s published route, not a universal deadline for every foreign airport. Keep both confirmations if booking concierge help as well, and check they have a clear handoff rather than overlapping assumptions.
Quick questions
