If you live in the US and your parents will arrive alone at a Dubai hotel, do not assume a reservation only in your name will let them check in. Put the actual staying guest's details in the guest fields and ask the property to confirm the arrangement. The person arranging or paying for a room and the person occupying it are different roles.
Keep guest, booker and payer separate
Use your parents' names as the staying guests, with spelling matching the identification they will present. Use your own details where the booking asks for the payer or billing contact. If the form does not clearly separate those roles, ask the booking service and hotel how to record them before paying. Do not solve a payment-name problem by listing a non-travelling child as the only guest.
Citi's hotel-booking guidance, dated 3 March 2025, says to enter the details of the person staying in the guest information and distinguishes those from the booker's billing information. It also notes that third-party payment may require an authorization and that the arriving guest may need a card for incidentals. This is general booking guidance, not a Dubai-wide check-in rule.
Ask the actual hotel, not only the booking app
Before committing, send the property the proposed dates, guest names and the fact that the payer will not travel. Ask whether your parents can check in without you, how the reservation must show their names, what identification is needed and how payment must be arranged. Use the property's contact shown on its own official website or your verified booking channel.
If the booking already exists only in your name, ask the issuer and hotel for the supported correction. Confirm whether adding a note or an additional guest actually allows your parents to arrive without the named lead guest. A note is not the same as a corrected guest record or an accepted check-in arrangement. Do not cancel and rebook before checking the original rate's terms and the cost of changing it.
Do not assume a card on file pays for another guest
Hilton's payment help page says the card used for payment must match the name on the reservation and explicitly warns against using your card to pay for another guest's stay. Its distinction between a guarantee and a charge also matters: entering a card does not by itself mean the room has been paid in full.
Other properties may offer an approved third-party authorization process. Hyatt Place Waikiki Beach's own FAQ, for example, describes authorization for another guest's room and says some properties do not accept that form. It is a Hawaii property example, not permission to use the same method at a Dubai hotel. Ask the Dubai property which process it accepts, which charges it covers and when acceptance will be confirmed.
Do not send card numbers, security codes, passwords or one-time codes in a family chat or ordinary email. Ask the hotel for its verified secure payment route and verify unexpected payment requests independently through the official contact. Never assume a message using the hotel's name came from the hotel.
Settle room payment and incidentals separately
Ask whether the agreed payment covers only the room and taxes or also other charges. Ask what your parents must provide at arrival for an incidental deposit, which payment methods are accepted, the amount or calculation and the release process. Do not promise that prepayment eliminates every payment requirement at the desk.
Give your parents the confirmation showing their names, the property's written reply about arriving without the payer, the payment status and an easy-to-find hotel contact. Include the booking reference, dates and the arrangement for any balance or deposit. Keep sensitive payment information out of the copy they show a driver or another unrelated person.
A short question to send before paying
"I am arranging this stay for my parents and will not be travelling. Please confirm the guest names that must appear on the reservation, whether they can check in without me, the accepted payment arrangement and what they must provide for identification and incidentals. Please also confirm any charge or restriction for correcting an existing booking." This is a suggested draft for you to adapt, not a message TripKeeper has sent.
TripKeeper's practical approach is to close the gap between a booking confirmation and the person arriving at the desk. One written agreement covering names, payment and arrival is more useful than several screenshots that contradict each other.
