If a visa agent says your parents' application is submitted, ask for the acknowledgement issued by the receiving application centre or authority and check the current status through the correct official route. An agent's invoice proves a payment to the agent, not necessarily submission to the visa authority. An appointment confirmation is also a different stage.
Ask which stage “submitted” means
Ask the agent to name the destination, visa category, receiving office or portal and the action completed. Was the form prepared, an appointment booked, a file uploaded, documents handed to an application centre, or a passport forwarded? The steps vary by destination and route. Do not assume that every country uses a visa application centre or that every electronic visa is a self-service online application.
BLS International's dated explanation of 22 April 2026 separates check-in, document intake, internal handling, transfer to the embassy or consulate and passport return. It says the centre does not make the visa decision and describes tracking with a reference provided at submission. This is an operator's process explanation, not a rule that settles the route or requirements for every destination.
Request the receiving system's acknowledgement
Our practical request is for a readable copy of the official acknowledgement or submission receipt for each parent, the reference, recorded submission date and the receiving centre or portal. Ask how the reference relates to the actual traveller. If the route supplies a different form of confirmation, ask the agent to identify it and the official way to check it.
Keep the agent's service invoice, appointment confirmation, fee evidence and official submission record as separate items. Do not relabel one as another. A screenshot saying a payment succeeded or a form was saved does not by itself show that the relevant application was accepted into the next stage.
Open the official tracking route independently
Start from the destination authority's official application guidance and its linked application provider, then select the correct country of application and destination. Do not enter passport or personal details into a tracking link supplied only by an unknown message or a lookalike paid site. Use the parents' agreement for access and keep their references private.
As examples checked on 4 November 2026, VFS's India-to-France tracking page describes a reference from the application-centre invoice/receipt plus date of birth; its India-to-Ireland page describes the receipt reference plus last name. These pages do not show a publication date and are cited only as observed tracking-interface examples, not dated visa eligibility or document rules. Follow the live page for the actual route rather than copying fields from a different country.
Read the status without upgrading its meaning
Keep the exact wording, date and time of the check. A file being handled, transferred or returned is not by itself a visa grant. Ask what a status means through that route's published support channel if it is unclear. Do not turn a courier notification or a centre's returned-passport message into “approved” before reading the actual decision and issued document.
Where no usable record appears, first check the reference, personal details and route with the agent. A missing result alone does not prove fraud or non-submission; the reference or stage may be wrong or the system may not yet show it. Ask for a clear explanation and the next official check instead of accepting an indefinite “it is in process”.
Close the evidence gap with a specific request
Our suggested message: “Please send the receiving centre/authority's acknowledgement for each application, the submission date and reference, and the official tracking route. Please distinguish any appointment or agent-service payment from actual application submission. If submission is still pending, tell us what remains and who owns the next step.” Fill this privately from the real case.
If the agent cannot provide the expected proof, use the receiving authority or provider's published support process to ask what can be verified and what identity or authorisation it needs. Do not assume that an NRI child may access a parent's file, that an agent can answer every question on the parent's behalf or that every contact centre will disclose tracking details. Avoid sharing passwords or one-time codes.
Keep a family record without promising the result
With your parents, keep one private file containing the actual submitted version where available, acknowledgements, references, requests for further information, replies and the final decision. Mark unresolved stages as unresolved. Check the issued visa details and conditions when a decision arrives; submission evidence is not travel permission.
TripKeeper's practical test is whether the family can trace the agent's statement to a receiving-system record and describe what remains. We do not guarantee approval, processing time, an express route, a refund or any country's submission requirements in this guide.
Sources and limits
Checked 4 November 2026: BLS process explanation, dated 22 April 2026; VFS India-to-France tracking and VFS India-to-Ireland tracking (undated interface examples). The checklist is editorial evidence-handling advice. No country-specific visa eligibility, mandatory document list, representation permission, processing deadline or approval rule is confirmed here. Verify those separately with the responsible authority.
