A long wait does not create one universal meal or hotel entitlement. Under the Indian DGCA rule, the relevant questions include whether you checked in on time, the flight's block time, the expected delay, the scheduled departure time and the cause. Ask the operating airline to apply the right branch before paying for your own arrangements.
Start with the flight record, not the rumour
Keep the original itinerary, current flight notice, boarding pass and check-in record together. Ask staff whether the flight is delayed or cancelled and what cause and expected departure they have recorded. Cancellation and denied boarding have different rule branches; do not use this delay checklist to calculate their compensation.
The DGCA CAR defines block time as the period from the aircraft first moving for take-off until it finally comes to rest at the end of the flight. It is not your transit wait or the length of today's delay. Ask the airline to confirm the block-time category if it is unclear. For paragraph 3.4.1, the expected delay is beyond the original announced scheduled departure or a revised departure time. The thresholds below come from CAR Section 3, Series M, Part IV, effective 15 February 2023. Air India's current rights page points to the passenger-rights version effective 15 February 2023.
Decision tree: meals and refreshments
Checked in on time? Paragraph 3.4.1 makes this a condition. If your own reporting status is unclear, have the airline check it rather than assuming a delay removes the deadline.
Which block-time branch? For block time up to 2½ hours, the expected delay threshold is 2 hours or more. For block time over 2½ and up to 5 hours, it is 3 hours or more. For flights outside those two groups, it is 4 hours or more.
Threshold reached? The referenced facility is free meals and refreshments in relation to waiting time. Ask where and how the airline is providing them, and check the extraordinary-circumstance qualification below.
This is not a fixed cash meal allowance or permission to buy anything and send the bill later. Ask about the actual collection point, voucher or arrangement and any dietary or medical need. If you buy something yourself, retain an itemised receipt, but a receipt alone does not prove reimbursement is due.
Hotel branch: read the longer-delay condition exactly
Paragraph 3.4.3 refers to a total delay of more than 24 hours, or more than 6 hours for flights scheduled to depart between 20:00 and 03:00. It points to hotel accommodation when necessary, including transfers, under paragraph 3.8.1(b). A six-hour daytime delay is not automatically that overnight branch. Ask the airline which scheduled departure and total delay it is using for your flight.
Ask staff to confirm whether a hotel has actually been arranged, its name, the covered dates, transport and the return reporting instructions. Do not book a room assuming the airline will reimburse it. At an international airport, a hotel offer does not itself grant immigration permission or a route out of the secure area. Ask airline and airport staff about the permitted route before leaving.
The cause can change the facility obligation
Paragraph 3.4.4 says the operating airline is not obliged to provide paragraph 3.8 facilities when the delay is caused by the extraordinary circumstances defined in paragraphs 1.4 and 1.5 and could not have been avoided even with reasonable measures. Those provisions include weather, ATC and other stated beyond-control circumstances. Do not repeat the blanket claim that every weather delay guarantees a free hotel or meal.
Ask for the airline's recorded reason and actual assistance offer. A cause that is disputed needs a case review; this article cannot settle it from a delay message alone. Tell staff promptly about reduced mobility, accompanying carers, children or urgent health needs. Paragraph 3.8.2 calls for particular attention to persons with reduced mobility and those accompanying them.
If Air India issues a hotel voucher
Air India's hotel and transport terms, updated 27 April 2026, govern its offered arrangement, not every airline's eligibility. The voucher is valid only for its stated dates. Transport is arranged by its service partner unless otherwise specified. Set meals apply where entitled based on the time of day; additional or special meals, minibar, room service, laundry and upgrades may be your cost.
Carry government ID for check-in, confirm the hotel's check-in and check-out rules, and follow the return transport timing. Early check-in or late check-out is not guaranteed. Coordinate changes or problems through the Air India airport team. This is the step after an actual offer, not proof that the hotel has already been booked for you.
If the request is refused or left unresolved
Retain your flight record, request, response and receipts privately. Air India's rights page gives Customer Support, then Nodal Officer and Appellate Authority routes, retaining the case ID; it also lists AirSewa. The CAR provides airline and AirSewa complaint routes. A complaint submission is not a payment approval. A separate branch, paragraph 3.4.2, concerns an alternate-flight or full-refund option for certain domestic delays over six hours; its timing conditions are different from the hotel test. Ask the airline about that choice too, rather than treating a hotel voucher as the whole remedy. This guide covers delay facilities, not a guaranteed cash compensation sum, refund deadline or worldwide rule.
